Privacy Policy

The El Paso Municipal Police Officers' Association ("EPMPOA," "we," "us," or "our") operates this website at epmpoa.org. This policy explains what information we collect through the website, how we use it, and the choices available to you. Questions about this policy can be sent through our contact page.

• Membership account information. When you register for a member account we collect your name, mailing address, email address, phone and cell numbers, cell carrier, employee/ID number, region or command center, section, and the resource groups and mailing lists you select.
• Authentication data. Passwords are stored only as salted hashes by our authentication provider. If you enable two-factor authentication we store the associated secret needed to verify your codes.
• Member activity. We record sign-in times, profile changes, and administrative actions in an internal audit log to protect member accounts.
• Voting participation. For online votes we record that an eligible member voted, so that no one votes twice. Ballot selections are stored separately and anonymously and are not linked to the member who cast them.
• Messages you send us. Information you submit through contact, relief fund, or hall booking forms.
• Technical data. Standard server and security logs, such as IP address, browser type, and pages requested.

• Operate member accounts and control access to member-only resources.
• Send association communications — meeting notices, newsletters, event notices, and alerts.
• Administer elections, referendums, and other member votes.
• Respond to inquiries, relief-fund requests, and Memorial Hall booking requests.
• Maintain the security and integrity of the website and member data.
• Meet the association's recordkeeping and legal obligations.

Association email and SMS are delivered through our email/SMS service provider, which processes recipient addresses and delivery events (sent, opened, bounced, unsubscribed) on our behalf. Text alerts are sent only to members who have opted in. You may opt out of non-essential messages at any time by using the unsubscribe link in an email, replying STOP to a text, or contacting the association office. We may still send you essential account and membership notices.

We use strictly necessary cookies and browser storage to keep you signed in and to protect forms against cross-site request forgery. We do not use advertising cookies. Any analytics we use is limited to aggregate traffic measurement.

• Service providers. Hosting, database, authentication, and email/SMS delivery vendors that process data only on our instructions.
• Association business. Authorized EPMPOA officers, directors, and staff, on a need-to-know basis.
• Legal requirements. When required by law, subpoena, or to protect the rights and safety of members or the association.

EPMPOA does not sell, rent, or trade member information to third parties.

Member data is stored in an access-controlled database with row-level security rules that limit each record to the members and administrators entitled to see it. Traffic to the website is encrypted in transit. Administrative access is limited to authorized officers. No system can be guaranteed perfectly secure, so please use a strong, unique password and enable two-factor authentication.

We keep member records for as long as an account is active and afterward as needed for association recordkeeping, dues history, and legal obligations. Audit log entries and anonymous ballot records are retained for the period required by the association's bylaws and governing documents.

• Review and update most profile fields in your member account.
• Change mailing-list and text-alert preferences at any time.
• Request a copy of, correction of, or deletion of your personal information.
• Close your member account by contacting the association office.

This website is intended for adults — active and retired El Paso municipal police officers and association affiliates. We do not knowingly collect information from children under 13.

Our site links to third-party sites such as the association's online store, donation platforms, and endorsed campaign sites. Those organizations have their own privacy policies, and we are not responsible for their practices.

We may update this policy from time to time. The revised version will be posted on this page with a new effective date, and significant changes will be communicated to members.
